Overview
Starting 5/13/2023, hospital admin users can add bulk updates to qualification rules and apply them to multiple PID/HIDs. Previously, updates could only be applied to one PID at a time.
This feature is available on the Pharmacy Settings> Qualifications Filters page. For a detailed explanation of how to use the tool, see Bulk Update Qualification Rules.
1. Is this feature available to all Users?
No. This feature is available to External Hospital Admin users and any Internal (Macro Helix) user that has access to Pharmacy Settings. Retail users do not have the ability to apply rules in bulk.
2. What if I get an error message when I access Bulk Update tool?
You will see an error message only when your Health System is not validated every 90 days. Every 90 days, your Health System must be validated by going to Admin Setup > Health System View and clicking Validate Health System.
3. What happens to frozen prescriptions if a Past Effective Date is applied to the rules?
If a past Effective Date is applied to the rules and there are frozen prescriptions, then the user must contact Macro Helix Support. You will see a warning at the bottom of the selected rule that says, “Unfrozen prescriptions will be retested for eligibility; to have frozen prescriptions retested, please contact Macro Helix Support.”
4. Is there any restriction in place for rules that require Contract Pharmacy approval?
Yes. Unless you are an Internal Macro Helix user, you cannot apply rules that are bound to Pharmacy Service Agreement (PSA) to Chain and Independent PIDs. You will have to reach out to Macro Helix Support for this request.
5. Does the Pharmacy Selection grid display all PIDs in our system?
The Pharmacy Selection grid displays Active PIDs the currently logged in user has access to.
6. How can I track the history of rules applied?
After applying the rules, all details will appear on the Qualification Rules page for the PIDs to which rules were added. Additionally, the Transaction Log in Pharmacy Settings of each PID displays the rule number, name of the user that applied the rules, Effective Date, Value, and Termination Date.
7. How can I check what rules are applied to what PIDs?
You can now download a Confirmation Report in the final step of the Bulk Update Qualification Rules window. The report outlines the rules and other details with PIDs they are applied to.
8. Can I make changes to the existing rules in this tool?
This tool is not designed to edit existing rules. If an already existing rule is added with a different Effective Date, then the existing Effective Date will not be overwritten. If you want to update any details to a rule, then you have to right click the rule and select Edit on the Qualification Filters page.
9. What happens if I give a Termination Date to the rule?
Termination Date should be after the Effective Date. A rule with Termination Date will be “Active” and qualify/disqualify the scripts until the Termination Date is reached.
