Consolidated Reports - User Defined Groups

Consolidated Reports gives internal Macro Helix users, pharmacy administrators and/or pharmacy managers the capability to create user-defined groups and take advantage of customized aggregate reporting. Users can select facilities or individual PIDs/HIDs to create customized groups and generate reports. Users will be able to run Accumulation and Utilization reports with a max of 365 days. Look for additional reports, such as Purchasing & Savings reports to be added to this functionality in future releases.

For example, a national health system may cover several states, including Florida and Georgia.  The pharmacy administrator can create a group for each state and run reports for PIDs in one or both states.

In another instance, a user may want to run a report on all their Critical Access Hospitals (CAHs) for specific states. The user can create a group for CAHs only in those states, run a custom report and save the report for later use.

To create User Defined Groups in 340B Architect, perform the following steps:

Step 1: Report Initialization

  • Click CREATE NEW GROUP. The REPORT GROUP GENERATION screen appears.
  • Enter a name for the Report Group in the Name field.

Step 2: Build Pharmacies Template

  • Enter a description of the report group in the DESCRIPTION field, and select SAVE AS CUSTOM LIST or SAVE AS TEMPLATE and click Next.
  • SAVE AS A CUSTOM LIST - Allows users to generate reports for select PIDs using filter options (i.e., State, Hospital Class, Chain Name, HID). If a PID is later added to the user's profile, the user must manually add new PIDs to the saved custom list to appear in the report(s).
  • SAVE AS A TEMPLATE - Allows users to generate reports by setting up template rules (i.e., State, Hospital Class, Chain Name, HID). If a PID is later added to the user's profile and the PID fits the criteria specified in a saved template, the PID will be automatically added to the template and will appear in the report(s).

  • To Save as a Custom List, select Filter Options to build a list of PIDs based on PharmacyType, State, Hospital type and/or Chain.

  • To Save as a Template, select Template Rules to build a list of PIDs based on Pharmacy Type, State, Hospital type and/or Chain. Once the list is filtered, select Next. The Report Schedule screen appears.

Step 3: Report Schedule

  • Select the frequency of the report (Run Once, Weekly, Monthly, Quarterly or Yearly) and click Next.
  • If the Run Once option is selected, 340B Architect will prompt for a date range. The report is
  • only generated once.
  • Weekly, Monthly, Quarterly and Yearly reports start the day the user selects the option and
  • generates based on that start date. For instance, a weekly report would generate 7 days from the
  • start date, a monthly
  • 30 days from the start date, etc.

Step 4: Review and Confirm

  • Review and confirm the report information and click Save.
  • If the group creation is successful, a successful message briefly appears. Review the REPORT GROUP LIST to confirm the report saved.
  • When the report is ready, the user will receive an email from MacroHelix Reports with a link and password to download the report.

NOTE:

  • The download link is only good for 7 days, up to 5 downloads.
  • There may be multiple reports if a report has greater than 250,000 lines.
  • During list creation, if the list includes hospital and retail PIDs, 340B Architect will run one report for hospital PIDs, one for retail PIDs and two separate emails.
  • For PIDs in a Parent-Child relationship, the Parent PID must be added if a Child is added to the Report Group.
