Bulk Update Qualification Rules

Overview

Starting 5/13/2023, hospital admin users can add bulk updates to qualification rules and apply them to multiple PID/HIDs. Previously, updates could only be applied to one PID at a time. 

This tool is not designed to edit existing rules. If an already existing rule is added with a different Effective Date, then the existing Effective Date will not be overwritten.  If you want to edit any details to a rule, you will need to right click the rule and select Edit from the Qualification Filters page.

Health System Validation

If your health system validation is expired (date last validated is beyond 90 days), you will be restricted from using the Bulk Updates for Qualification Rules tool.

How to make bulk updates to qualification rules

1. Within the Admin Setup > Pharmacy Settings > Qualification Rules page, click the Bulk Update Qualification Rules button at the top of the page. 

2. Select the rules you would like to apply. 


  • Rules are displayed in alphabetical order by category.

  • Patient

  • Search for a known rule by name or rule number. 
  • Check the boxes next to the rules you would like to apply. 

 

3. Enter details for how you would like the rule to be applied, including Effective DateTermination Date, and Notes

  • The Effective Date is required. This is when you would like to start applying the rule. 
    • If the effective date is in the past, unfrozen prescriptions will be retested for eligibility. To have frozen prescriptions retested, you will have to contact support. 
  • The Termination Date field can be used to end the application of a rule already in use. The Termination Date has to be after the Effective Date. 
  • For some rules (5, 12, 14, 30, 29, 28, 36, 33, 43) you will also be required to enter a Value. 
    • For days, 3 characters allowed (0-365) and for dollar amounts, 6 characters are allowed with 2 decimal points (0-100000). 

  • If you click Exit or Cancel, all selections will be cleared and not applied. 

4. Click Next in the bottom left corner of the windowIf you are unable to click next, be sure that you have entered all required fields for each rule. 

5.  Apply the rules to the desired PIDs.

  • The window will display all active HIDs and PIDs within the Corp ID that you have access to. 
  • Use the pharmacy type checkboxes to filter the list of PIDS by Hospital, Retail, and Specialty. The letters H, R, and S will appear to the left of each pharmacy name to indicate pharmacy type. 

  • Use the search bar to filter the list by name or number. 
  • Check the boxes next to the desired PIDs. 

6. Click Next. 

7. Review Updates. A summary of selected rules and PIDs will be provided for review. 

  • A warning will appear if there is a conflict between two rules, or if you have selected a PSA (Pharmacy Service Agreement) driven rule.  Please reach out to support at support@macrohelix.com to apply this type of rule. 
  • To edit your selections, you have the option to click Back to make edits or click Reset to clear your selections completely. 
  • To finalize the updates, click Apply Updates

Backdating

For any rule changes that were back-dated beyond your frozen days period, you must request an impact report from Support at (888) 462-4526 or contact support@macrohelix.com


How to track the history of rules applied 

After applying the rules, all details will appear on the Qualification Rules page for the PIDs to which rules were added. 

Additionally, the Transaction Log in Pharmacy Settings of each PID displays the rule number, name of the user that applied the rules, Effective Date, Value, and Termination Date. 

Coming soon, you will be able to download the Confirmation Report in the final step of the Bulk Update Qualification Rules window.  The report outlines the rules and other details with PIDs they are applied to.


How to Download Confirmation Reports

Both external and internal users can download a Confirmation Report to see a full summary of the applied rules and which PIDs they were applied to. After applying updates, the report will be available in the bottom right corner of the final Review screen as a link (View Confirmation Report here). 

The report will download in .xlsx format and will contain the following information: 

  • Qualification Rule ID (Element ID)
  • Rule Description
  • PID
  • Pharmacy Name
  • Effective Date
  • Value
  • Termination Date
  • Notes
